We are seeking to fill a position of IT Operations Assistant G5 based in UNHRD Kuala Lumpur, Malaysia. Applicants must reside within commuting distance to the office location in the duty station and must be Malaysian Residents holding a valid passport and/or identity card, or a valid Resident. Permit to work and live in the country.

ORGANIZATIONAL CONTEXT

The United Nations World Food Programme (WFP) is the world's largest humanitarian agency fighting hunger worldwide.  The mission of WFP is to help the world achieve Zero Hunger in our lifetimes.  UNHRD is a network established by WFP, that procures, manages and transports emergency supplies for the humanitarian community. It is a one stop shop for partners, offering free storage, procurement, transport, handling, and technical field expertise; to support the humanitarian community.  UNHRD’s network depots located in Ghana, Italy, UAE, Malaysia, and Panama. The WFP was awarded the Nobel Peace Prize in 2020 for its efforts to combat hunger and its contribution to bettering conditions for peace in conflict-affected areas.

 JOB PURPOSE

 

Under the general supervision of the National Finance officer and technical supervision of TEC Unit in Regional Bureau Bangkok,  the IT Operations Assistant will be responsible to deliver high-quality technical support, system and data maintenance in order to contribute to the effective delivery of IT services. The selected incumbent will be in charge of the following duties, including but not limited to  : troubleshooting and technical assistance to users in the areas of computer hardware, software, telephone and network systems, managing the IT assets, Procurement of IT and communication equipment/software, participation in interagency networks/meetings, etc… The IT assistant will work closely with the   TEC Unit in the Regional Bureau and WF P Headquarters.

The ideal candidate should be proactive, flexible and able to work well in a multicultural and multi-disciplinary context and to demonstrate good client orientation, attention to detail and teamwork skills. The IT Assistant will be required to communicate effectively with a range of internal and external stakeholders while maintaining discretion and confidentiality.

 

KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive)

 

  1. Carry out system maintenance tasks, such as performing monitoring tasks, running system diagnostics, and system optimization, to ensure they are running effectively and enable easy and efficient use.

  2. Maintain technology, including standard repairs, configuration, and storage, in accordance with data security and access controls to ensure IT equipment required for WFP staff is available.

  3. Prepare files and systems for inventory and archives, such as website content and directories, to ensure information is accurate and up-to-date.

  4. Ensuring that tasks are delivered to agreed standards and deadlines, to support the effective delivery of services.

  5. Respond to a variety of queries about technology and systems in order to assist WFP staff to deliver their services.

  6. Provide standard training to end users of technology and systems to ensure staff use standard technology and systems effectively.

  7. Perform routine deployments of server hardware and software, including testing and the identification of problems, to contribute to the effective functioning of technology.

  8. Responsible for maintaining information records such as updating web pages and statistical databases to ensure the information is current and well organised.

  9. Install, operate and maintain telecommunications systems and equipment, to ensure optimal services in compliance with standard operations procedures.

  10. Support the development of standard material such as training documentation and web content to ensure staff have access to required information about IT services and products.

  11. Suggest improvements to methods and processes in order to support the continuous improvement of IT services.

  12. Follow set emergency response processes and procedures as required to provide support in enabling emergency food assistance needs to be met.

  13. Support processing and managing administrative tasks, to contribute to the effective and timely management of resources.

  14. Perform any other duties assigned.

 

 

SPECIFIC POST REQUIREMENTS (As required by the Hiring Manager)

Essentials:
 

  • Experience working with Windows Server and Windows environments, including Active Directory Management and Microsoft packages, Office 365.

  • Experience in hardware and software troubleshooting and in resolving complex technical issues.

  • Experience in LAN/WAN environments

  • Experience with the application of client services standards to resolve or escalate clients’ service problems.

  • Good communication, client orientation and teamwork skills.

 

 

Desirables:
 

  • Knowledge of the IT and telecommunications or information management, such as WAN/LAN networking, operating systems, telephone services, web registry or similar.

  • Experience working in a United Nations common system, international or non-governmental organization.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE

  • Education: Completion of secondary school education. A post-secondary certificate in the related functional area and certifications in Windows Environment and Networking LAN/WAN are desirable.

 

  • Language: Fluent in English and Bahasa Malaysia, both oral and written.

 

  • Experience: Minimum Five or more years of relevant work experience in Information Technology and and/or telecommunication field.
