Organizational Context

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.”

The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises. The IFRC is part of the International Red Cross and Red Crescent Movement (Movement), with its member National Societies and the International Committee of the Red Cross (ICRC). Its work is guided by the following fundamental principles: humanity, impartiality, neutrality, independence, voluntary service, unity, and universality.

The IFRC is led by its Secretary General and has its headquarters in Geneva, Switzerland. The headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services. The organization has five regional offices: Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegations and country delegations throughout the world. The Geneva headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat.

The Asia Pacific Regional Office (APRO) leads IFRC support to National Societies of 38 countries through eight country delegations and five country cluster delegations spread across East Asia, South Asia, Southeast Asia and the Pacific geographical areas. APRO, led by the Regional Director, is organized in units which mirror departments of the Geneva headquarters. APRO also serves as the Secretariat office that provides direct support to the National Society of Malaysia.

Job Purpose

The Project and Data Management Intern sits with the Planning, Monitoring, Evaluation and Reporting (PMER) and Quality Assurance Unit in APRO based in Kuala Lumpur, Malaysia. The Project and Data Management Intern will work under the overall guidance of the Asia Pacific Regional Head of PMER and Quality Assurance.

The internship will provide support to ensure and improve the performance, quality and accountability of programming under a results-based management approach. S/he will also support the implementation of project management training and, the learning strategy and initiative.

Job Duties and Responsibilities

Specific Tasks:

  • Support in creating learning newsletters and other learning initiatives.
  • Support in data management, design of data collection tools, perform data and information validation and analysis, to facilitate effective programming and quality reporting.
  • Support in coordinating reporting related to operations and operational plans, undertaking quality control and final editing for all plans/reports (data part), and ensuring that professional standards are adhered to, and deadlines are met.
  • Support in updating/creating project management training modules.
  • Create new and maintain existing Power-Bi dashboards.

Job Duties and Responsibilities (continued)

  • Support in eveloping and implementing analytical methodologies to evaluate the quality of reports, ensuring quality assurance and facilitating continuous improvement.
  • Maintain archives as an integral function for all plans/appeals/reports undertaken.
  • Perform any other duties related to this internship as may be assigned by Senior Data Analyst.

Education

  • The ideal candidate should have completed a graduate program within the past 12 months or be working towards an advanced academic background.

Experience

  • Work experience in Project and/or Data management, with an interest in becoming familiar with the international humanitarian or development sector.

Knowledge, Skills and Languages

  • Fluently spoken and written English.
  • Strong skills in Microsoft Office tools, especially Excel and Word.
  • Strong interest to create dashboard and use data collection tool.
  • Strong analytical mindset with good level of comfort to work with data and information.
  • Ability to work within a multi-cultural, multilingual, multidisciplinary environment.

Competencies, Values and Comments

Position Arrangements:

  • The intern will work during normal working hours (maximum 35 hours per week).
  • The intern will be based at the Asia Pacific Regional Office (100% of the time) in Kuala Lumpur. No travel is required during internship.
  • The duration of this internship is six (6) months, with the possibility to extend depending on performance and availability of funding.

Terms and Conditions:

  • The intern will be required to provide proof of medical insurance coverage.
  • Costs and arrangements for travel, visas or residence permit, accommodation and living expenses are the sole responsibility of the intern.
  • Should the visa or residence permit allow employment, an allowance of CHF 400 (or equivalent in local currency) per month will be provided to the intern.
