Purpose: Under the general supervision of the Supply & Procurement Officer, Assist in Supply/Procurement Processes

Summary of key functions/accountabilities:

  • Reviews incoming demand /Sales orders to ensure completeness and appropriateness of specifications / Terms of reference. Draft tender documents (requests for quotation, invitation to bid, requests for Proposals) and supports the implementation of the tender process.
  • Liaise with the suppliers and pre-delivery inspection service provider with respect to contract management.
  • Prepares Direct Orders (Purchase Orders) against existing Long Term Arrangements (LTA) ensuring that the LTAs has valid quantities and lead –time meets requirements.
  • Supports sourcing of relevant suppliers of goods & services.
  • Supports evaluations of offers through preparation of tabulation sheets, analysis of offers.
  • Drafts submissions to Contract Review Committee; and drafts contracts & or purchase orders.
  • Maintains all data to ensure correctness and availability of information for source and availability plan, logistics plan, delivery plan and actual delivery schedules.
  • Ensures continuous availability of data related to procurement including forecasting, requisitions received, order placed, incoming goods, actual delivery schedules. Prepare periodic reports, and ad-hoc reports as needed.
  • Works closely with Suppliers to ensure quality assurance and timeliness of deliverables.
  • Minimum Requirements:

    Education : Completion of secondary school, preferably supplemented by technical or university courses in a field related to the work of the organization.

    Experience: Five years of progressively responsible administrative and/or supply-related work experience (procurement, supply or logistics) is required. Familiarity with UNICEF, UN supply procedures and systems is an asset.

    Languages: Fluency in English & Arabic
