Division & Project Overview:
The Translating Research into Action Project (TRAction) is a global initiative dedicated to addressing research gaps in how to effectively introduce, implement and scale-up priority evidence-based interventions in the areas of Maternal Neonatal Child Health (MNCH), Family Planning and Malaria.
The project’s primary objective is to solicit and manage a research grant process that will meet USAID’s project objectives and also strengthen the research capacity of host country collaborators. The project works with USAID/Washington; USAID missions; regional, host country and U.S. research organizations; other USAID MNCH projects; as well as other donors and service-delivery partners and Ministries of Health to achieve the project’s objectives. The TRAction Project disseminates research results and supports efforts to translate research results into improved introduction and scale-up of proven innovations in developing countries.
Reporting to the Associate Director for Research Awards and Administration, the Project Assistant is an entry-level position that will provide administrative, financial, event planning, and logistical support to the TRAction Project team.
Primary responsibilities will include but not be limited to the following:
Assist TRAction team with processing and checking project financial reports and other project-related documents as needed, process expense vouchers and allowances and track payments, equipment purchases and shipments for various studies.
Coordinate travel arrangements for TRAction and subawardee personnel, which may include tracking, and documenting all travel-related paperwork (approvals, confirming hotels, advances, visas, Travel Expense Statements (TES), etc.)
Assist in the preparation of reports and USAID deliverables, including formatting and translation processes.
Respond to requests for assistance from TRAction team as assigned which may include assisting with blogs, website maintenance, and/or contributing to knowledge management discussions.
Support TRAction technical staff with the consultant hiring process, including preparing the consultant hire documents, travel and MEDEX arrangements, and providing administrative support to consultants as requested.
Maintain tracking systems for Credit Card expenses, Travel, Deliverables, Financial records and USAID research tracking requirements.
Coordinate logistical arrangements for meetings and conferences; including invitations tracking, arranging for printed conference materials, venue setup, and other related logistics
Coordinating meetings and, in conjunction, keeping, editing and distributing meeting notes
Participate in business development activities as assigned.
Bachelor’s degree in relevant field.
One to two years of administration experience or equivalent.
Excellent verbal, interpersonal and written communications skills with multiple stakeholders.
Close attention to detail and self-motivation.
Demonstrated organization skills in professional environment and ability to prioritize and manage a variety of tasks.
Ability to work effectively in a fast-paced environment and produce work within specific timelines.
Availability for occasional overtime for project and program development.
Ability to work long term in the United States without visa sponsorship.
Demonstrated ability to use Microsoft Office Suite, in particular Excel and Word.
Proficiency in spoken and written English.
