The Danish Refugee Council (DRC) is a humanitarian, non-governmental and non-profit organization that works in more than 35 countries around the world. DRC has recently established a presence in Greece where aims at delivering immediate assistance and protection-guided emergency response to refugees and migrants based on international humanitarian standards and in line with the Greek government strategy.


The number of persons transiting in Greece, in search of safety elsewhere in Europe, has significantly increased since June 2015. As numbers increased to several thousand new arrivals per day, reception facilities and the capacity of primary duty-bearers as well as the humanitarian community in Greece was overstretched. As a consequence, persons awaiting registration before continuing their journey onwards have been exposed to conditions that can be below standard and conducive to an unsecure protection environment, especially for the most vulnerable cases.

 With the overall objective of urgently improving the quality of the protection environment and conditions for those persons likely in need of international protection, this project seeks to support primary duty-bearers (Ministry of Migration Policy as the primary actor) to the furthest extent possible through the implementation of small scale construction to improve infrastructure, systematic information dissemination on available services and the registration process to persons of concern in a language they understand, development of site profiles and continuous monitoring of service provision, management of available accommodation facilities to ensure adequate shelter and priority to the most vulnerable, and conducting protection monitoring and support for the development and implementation of an adequate referral system for vulnerable cases.


The Administrative Assistant main responsibility is to support in managing and delivering administrative services across all projects and filed sites. This includes implementing, monitoring and following up across all administrative tasks and ensuring that DRC’s standard policies and best practice are followed.


Administration & Management

  • Oversee and administer contracts related to the office management such as lease contracts, maintenance contracts, phone lines, etc.

  • Oversee and administer the day-to-day activities of the office.

  • Provides assistance in the understanding and interpretation of DRC policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards.

  • Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions on operational and programmatic matters concerning the office.

  • Oversees and facilitates resources management, administration procedures and documentation.

  • Act as focal point and arrange maintenance for office and guesthouses.

  • Provides and/or oversees provision of staff support to the office, maintaining calendars and travel arrangements, screening, analysing, and, handling day-to-day problems and situations.

  • Supervise and coordinate cleaning and maintenance services.

  • Archive held for legal issue and related procedures, for Delegation of Powers and Authority documentation

  • Ensure support for annual legal review on NGO Registration; Labour Law and Financial Regulations

  • Ensure support for Expatriate staff follow up: Registration in the Country, Visa and travel regulation; Work permits; Leave and R&R management.

  • Ensure support for premises contracts management, office, warehouse and guesthouse leases

  • Responsible for Mail Recording System

  • Follow-up for assets insurance

  • Responsible for filling procedures

  • Responsible for updating monthly the staff contact list

  • Responsible for staff ID card management and traceability of DRC/Donor Equipment use

  • Responsible for Organisational Chart updating and publishing in the offices bulletin board Office


The position is supervised by: Head of Finance and Administration


  • University degree in accounting, business administration, finance or related areas
  • Good knowledge of Microsoft Programmes (E.g. Excel and Word)
  • Able to communicate both verbally and in written in English and Greek
  • Excellent interpersonal skills with the ability to maintain confidentiality
  • Cultural sensitivity and ability to work in a cross-cultural environment
  • Experience work with No Profit Organization is a plus. 
  • Punctuality and respect for rules and procedures.


This position is requested for a period of three months with potential to extend based on performance, DRC requirements and availability of funds.
